Tracking FFCRA Employee Leave for Payroll Partners Clients

As we’re all experiencing uncertainty due to the COVID-19 pandemic and recently passed legislation, we wanted to reach out to you to update you on a new resource available to those clients that are looking to take advantage of the new Families First Coronavirus Response Act (FFCRA).

Over the last week or so, we have been approached by Payroll Partners clients interested in tracking emergency paid sick leave and expanded family medical leave separately for compliance purposes.

For interested clients, we can set up three codes in our Payroll and Timekeeping platforms to be able to track this for you:

    • FFCRA 511 Max – This category should be used with reasons #1-3 on the categories below and/or on the form.
    • FFCRA 200 Max – This category should be used with reasons #4-6 from the categories below and/or on the form.
    • FFCRA 200 FMLA – This category should be used specifically for the EFMLA leave.

TimeWorks Plus Clients: For any FFCRA paid leave that you’ve put on timecards beginning on 4/1, please go back and revise/ensure you’ve used one of the above categories. We can set up the codes to be time-off requestable and selectable if you’re editing a timecard; however, we can toggle either of those options on or off. Further, the codes can be set up to be usable without having a balance input for the employee; however, the number of hours used are trackable via the Accruals Report. And if you’d prefer for employees to start with a balance, that can be done as well.

Moving forward, you can input the corresponding hours on the employees’ timecard as needed but please let your Payroll Specialist know as soon as you’re aware of an employee that will need FFCRA leave as there is employee-level setup that has to be done in the payroll system. If you need to have us add this leave in outside of timekeeping – you’ll need to use the form at the following link:

Payroll Only Clients: If you don’t currently use our timekeeping feature, you can request for us to set up specific employees with these codes by completing one form from the link above per employee and emailing it to your Payroll Specialist.

General Ledger Integration Clients: If you also happen to use our general ledger integration feature and require GL mapping for these new categories, please let us know if we should map them similar to how you code existing Sick Leave or if you will assign a different general ledger code.
